Full traceability, whoever's asking

Petrofac manages more than 50,000 components across its projects and locations.

“If someone asks where a component is, we can not only say where it is but also what condition it's in, its retirement date and its full working and inspection history. We could pick up a single wire sling for example and see everything about it instantly.”

    Robert Clarke

Rope Access Contracts Manager, Infinite Access Services

Frequently asked questions

Will our team actually use it on site?

Yes. A thorough examination is a scan, a checklist and a save, on site, whether you're the one carrying it out or the one who owns the equipment being checked. If a question comes up, our support team's average first response time is under 8 minutes.

How fast can we get every piece of equipment set up, not just the newest?

Your account doesn't start empty. Papertrail builds new accounts from industry-specific templates, so a lifting equipment account opens with the folder structure, examination frequencies, equipment states and record blueprint it needs, not a blank account you configure yourself. Bringing your existing equipment list and examination history across is a separate step, and we help you do it.

Do you support inspection firms as well as equipment owners?

Yes. An inspection firm examining equipment it doesn't own, and the owner who needs the record, both see the same evidence through PartnerHub.

Can Papertrail produce LOLER certificates?

Yes, on every plan. The report of thorough examination is filled in from the equipment's record and the completed checklist, with the particulars LOLER Regulation 10 and Schedule 1 require, and exported as a PDF with your company logo. You can produce one for a single item, for several items or for a whole folder. Each certificate is kept with the item's inspection history, so you can show it whenever an auditor or client asks. If you need your own layout, we can build a custom certificate template for your account, for a one-off charge based on how complex it is.

Does the audit trail hold up under scrutiny?

Yes. Every examination is timestamped and attributed, giving a clear, defensible record whenever an inspector or client asks for proof.

How often does LOLER require a thorough examination?

It depends on the equipment. LOLER Regulation 9 sets a 6-month interval for lifting equipment and accessories used to lift people, and for all lifting accessories, and a 12-month interval for other lifting equipment, unless a written examination scheme sets different intervals. Papertrail runs each on its own schedule rather than applying one fixed interval to everything you own.

The examination itself still has to be carried out by a competent person. LOLER doesn't set a formal qualification for this, but HSE's own guidance expects someone independent of routine maintenance, with enough practical and theoretical knowledge of the equipment to spot a defect. Papertrail doesn't decide who that is: each schedule carries its own list of who's authorised to sign it off, so only someone you've named as competent can close one out.
