The inspections get done. Proving they were done is the part that costs you.
Every kit and eyewash station checked and restocked on schedule
Plasters and other consumables get used and not replaced, so the next person who reaches for the kit finds it short.
An eyewash station goes unchecked for months, because nothing tracks it separately from the kit sitting next to it.
A kit looks stocked from the outside, right up until someone opens it and needs something that isn't there.

Every kit and station, stocked and in date
Regulation 3 of the Health and Safety (First-Aid) Regulations 1981 requires employers to provide adequate first aid equipment, based on an assessment of what their workplace needs. Keeping every first aid kit stocked and in date is where it usually slips.
In Papertrail, each kit and eyewash station can have its own record and restock schedule. You're alerted before anything expires, staff log what they've used, and a low item becomes a restocking task for the right person.

Common questions
Will my team actually adopt it?
Papertrail is built around the inspection your team already does: scan a tag, work through the checklist, save. RWE's technicians are working in it after a half-hour session, and Hogan Group runs it across a team aged 18 to 79 on minimal training. When questions come up, our support team's average first response time is under 8 minutes.
Can you migrate us from spreadsheets or another system?
Our team handles the data migration for you, so your kit and station inventory is ready to work with rather than waiting on you to key it in. We set up your folder structure, frequencies and states with you first, and help bring your existing records across from a spreadsheet or your current system.
Can we track what's been used out of a kit, not just when it was last checked?
Yes. Log what's been used during an inspection or as a note on the kit's record, and turn a low-stock item into an assigned restocking task with the Task Manager add-on.
Can we track eyewash stations separately from first aid kits?
Yes. Each kit, eyewash station or related item is its own record with its own restock and replacement schedule. Tag related items together, for example every station in one building, so they show up in one view.
Can we scan a kit instead of searching for it?
Yes. Tag each kit or station with an NFC tag, QR code or barcode. Scanning it opens the record and its restock history directly, without a manual search.
Does Papertrail confirm we meet the Health and Safety (First-Aid) Regulations?
The regulations put the assessment on you, as the employer: what equipment, facilities and personnel your workplace needs. Papertrail doesn't make that assessment or certify that you meet it. It's where the result lives instead: a schedule, a checklist and a log for every kit and station, ready to show if your provision is ever questioned.
