From the morning pre-use check to the annual inspection

  • Schedule Manager

Daily pre-use checks, periodic inspections and annual thorough examinations run as separate schedules on the same piece of equipment. Each carries its own checklist, its own certificate and its own list of who is authorised to sign it off.

  • Scanning (NFC/QR)

Tag harnesses, ropes and belay equipment, then scan at the wall or at the top of the course to pull up the full history, even offline in a synced account.

  • Checklist Editor

Manufacturer-approved checklists from 120+ brands, including PPE inspection records for harnesses and helmets. Build your own with the Checklist Editor on Expert and Enterprise.

  • Task Manager

Fail a check and the item goes to Quarantine, so nobody puts it back on the wall while it waits. Raise the corrective action during the inspection and track it to close-out with the Task Manager add-on.

“Papertrail's commitment to continually enhancing their platform is matched only by the quality of their training, service, and support. Over the past 8 years, Zip World and Papertrail have grown together, and we look forward to continuing that journey.”

Graham Williams

Facilities Officer, Zip World

  • “We've been using Papertrail for about seven years and I can confidently say that it's a fantastic software. It's super easy to use and we can easily train our staff on it. We love the filters that let us easily see which equipment needs attention. It's a must-have for any centre manager.”

    Abbie Wilkinson

    Centre Manager, Redpoint Worcester

  • “We had an audit last week. They asked how we manage inspections, and I just showed them Papertrail. The auditor just said, 'Yeah, that's brilliant.'”

    Liam O'Hara

Safety and Maintenance Officer, 270 Climbing Park

Frequently asked questions

Will seasonal staff actually use it?

Yes. An instructor scans the tag on a harness, works through the checklist and saves. It's simple enough to train in an induction, which matters when seasonal staff start in week one and are on the course in week two.

How fast can we be running before the season starts?

Your account does not start empty. Papertrail builds new accounts from industry-specific templates, so an activity centre opens with the folder structure, inspection frequencies, equipment states and record blueprint it needs, not a blank account you configure yourself. Bringing your existing equipment list and inspection history across is a separate step, and we help you do it.

Will this satisfy our AALS or AdventureMark inspection?

Papertrail gives your auditor the evidence they ask for: timestamped inspection records, the checklist used, who signed each one off and the full history of every item. Centres use it as the system of record that demonstrates this compliance as part of their safety management system, which is audited each year.

No software can pass the inspection for you. AALS licensing is statutory and sits under the HSE, and it assesses your safety management as a whole, not your record-keeping alone. Papertrail is the record and the evidence, not the licence.

Does it cover course structures as well as PPE?

Yes. Course elements, belay systems and structures each carry their own inspection schedule and history, the same as personal equipment. 270 Climbing Park runs all of it in one system, and describes the auto belays this way: "We do weekly checks, six-month checks, and when you add the inspection, it drops straight into the checklist automatically."

We close over winter. Will everything show as overdue?

No. You can mark days as non-operational and they do not count against an inspection schedule. 270 Climbing Park uses exactly this: "We can mark days as non-operational and it doesn't show as overdue. That flexibility is really useful."

Does EN 15567 apply to our ropes course?

If the course is permanent or mobile, yes. EN 15567 does not cover temporary courses or children's playgrounds. The standard comes in two parts: part 1 covers construction and safety requirements for the course itself, and part 2 covers operational requirements, which is where inspection and record-keeping sit.
