Every piece of port equipment, on its own interval

  • Schedule Manager

Set inspection intervals per item, and add a shorter, separate schedule the moment saltwater corrosion calls for one.

  • Checklist Editor

LOLER-aligned checklists for lifting gear included as standard, or build your own for anything else on-site with the Checklist Editor on Expert and Enterprise.

  • Certificates

Every examination produces a shareable certificate, filed against the right item automatically.

  • Audit Trail

Clear, timestamped proof of every inspection for the people accountable for marine safety and any inspecting authority.

Share your equipment records with the harbour authority overseeing your port

PartnerHub connects your account to the organisations you work with, so they see the records you share, and every update to them, in their own workspace.

  1. Invite

Invite the harbour authority, a contractor or a vessel operator into a PartnerHub partnership

  2. See

They see the live record in their own workspace, with its full inspection history, not a certificate handed over after the fact

  3. Withdraw

Withdraw access and the record disappears from their view immediately

Built around the standards a port is inspected against

Different equipment types demand different intervals: slings and passenger transfer gear every 6 months, cranes every 12, and saltwater corrosion can shorten any of them without warning. Papertrail runs each item on its own real interval, lets your competent person set a shorter one the moment a corrosion check calls for it, and gives whoever is accountable for marine safety one place to point to when someone asks for proof, not a spreadsheet that's already out of date.

Frequently asked questions

Will our port and vessel teams actually use it, not just the office?

Yes. An inspection is a scan, a checklist and a save, on a phone or tablet dockside or on deck, not a form filled in later back at a desk. If a question comes up while your team is getting started, our support team's average first response time is under 8 minutes.

How fast can we get a whole port set up, not just one crane?

Papertrail builds new accounts from industry-specific templates, so a port account opens with the folder structure, inspection frequencies, equipment states and record blueprint it needs, not a blank account you configure yourself, asset by asset. Bringing your existing equipment list and inspection history across is a separate step, and we help you do it.

How often does lifting equipment at a port need inspecting?

Every 6 months for lifting accessories (slings, chains, shackles) and passenger or crew transfer equipment, and every 12 months for general port lifting equipment like quayside cranes and mobile harbour cranes, unless a written examination scheme sets a different interval. (LOLER Regulation 9.)

Does the marine environment affect how often we need to inspect?

Yes. Saltwater corrosion often means shortened intervals, determined by a competent person, on top of the standard LOLER schedule.

Who's responsible for compliance under the Ports & Marine Facilities Safety Code?

The Code, updated April 2025, requires a senior-level Duty Holder: the person or board accountable for marine safety at the port. Papertrail gives that person one place to see compliance status across the whole site.
