NDT EQUIPMENT MANAGEMENT

Have confidence in your NDT equipment at all times

Papertrail holds the calibration record, certificate and manifest for every instrument, probe and gauge you run: what's due, what's overdue, and what's proven. Store manufacturer data, technical documents and photos against each item, and know who has a piece of equipment checked out and when it's due back.

The inspections get done. Proving they were done is the part that costs you.

Every instrument, probe and gauge, calibrated on schedule

  • A single instrument slips out of calibration, and every inspection it performed since is now in question.

  • Ultrasonic, radiography, magnetic particle, dye penetrant: every method runs its own calibration interval, and a spreadsheet doesn't flag which probe is next.

  • A probe or gauge goes out to a job or a calibration lab, and nobody can say what left, what came back, or when.

Everything you need to trust your NDT equipment

  • Schedule Manager

Calibration due dates for every instrument, each on its own schedule with its own checklist, certificate and list of who's authorised to sign it off, with an alert before anything falls due.

  • Equipment Records

Store every instrument's manufacturer data, purchase information, photos, technical documents and manuals in one record.

  • Equipment Manifests

Generate a manifest when equipment goes out to a job or off for calibration, and another when it comes back, so what left and what returned is on record.

  • Equipment Checkout

Assign who's responsible for a piece of equipment, with a deadline for when it's due back, using the Task Manager add-on.

Proof of calibration, the moment somebody asks for it

Applus+ operates in more than 70 countries and carries out rope access work, non-destructive testing and statutory turbine inspections.

“Whether that be in an audit or whether that just be from a user contacting one of the materials controllers and saying, 'I need the calibration certificate, the client's asking for it,' you could pretty much bring it up instantly and send it to them, and it's not a long-winded affair.”

The Directory is Papertrail's catalogue of 120+ equipment manufacturers, so you can add a new probe, gauge or instrument by searching for it instead of typing the details in by hand.

Your NDT calibration records, visible to whoever needs them

PartnerHub connects your account to the organisations you work with, so they see the records you share, and every update to them, in their own workspace.

  1. Invite

Invite a client or the specialist NDT contractor who carries out the test into a PartnerHub partnership, once, not per job

  2. See

They see the calibration record as you update it, updated automatically in their own workspace, not a PDF chased down after the fact

  3. Withdraw

Withdraw access at any time: they keep a read-only copy of the record as it stood, with no further updates

Every instrument calibrated on schedule, with the certificate to hand

If a probe or gauge drifts out of calibration, every result it produced since its last check can be called into question. That's why clients and auditors ask for the calibration certificate before they accept your report.

In Papertrail, each instrument can have its own record and calibration schedule. You're alerted before calibration is due, you can see who has a piece of equipment and when it's back, and the certificate sits on the instrument's record, ready to send when a client asks.

Common questions

Will my team actually adopt it?

Papertrail is built around the inspection your team already does: scan a tag, work through the checklist, save. RWE's technicians are working in it after a half-hour session, and Hogan Group runs it across a team aged 18 to 79 on minimal training. When questions come up, our support team's average first response time is under 8 minutes.

Can you migrate us from spreadsheets or another system?

Our team handles the data migration for you, so your inventory is ready to work with rather than waiting on you to key it in. We set up your folder structure, frequencies and states with you first, and instruments added from the product directory arrive with their details already attached.

Can we see who currently has a piece of equipment and when it's due back?

Yes, with the Task Manager add-on: assign responsibility for an instrument to a person, with a deadline for its return, so nothing goes missing between jobs. Task Manager is an add-on and isn't included on a trial account.

Do different NDT methods need separate calibration schedules?

Yes. Ultrasonic, radiography, magnetic particle and dye penetrant equipment can each run on its own schedule, with its own checklist, certificate and authorised signatories, so one method's interval is never applied to another by mistake.

Can we show what equipment left the yard and what came back?

Yes. Generate a manifest each time equipment goes out to a job or off for calibration, and another when it returns, so the record shows what left and what came back rather than relying on memory.

Know your NDT equipment is ready, before the next job

Book a demo and we'll walk through it with your own equipment and calibration cycles, or start for free and add your first instruments from the directory.
