One system for every service you run
Schedule Manager
Waste collection, parks, leisure centres, buildings: each service runs on its own schedule, with its own checklist, certificate and list of who's authorised to sign it off.

Checklist Editor
Manufacturer-approved checklists from 120+ brands for the equipment you already run. Build your own for anything service-specific, like how operatives lift and carry or reverse a vehicle safely, with the Checklist Editor on Expert and Enterprise.
Task Manager
Fail a check and set the item to Quarantine, so nobody works from it while it waits. Raise the corrective action during the inspection and track it to close-out with the Task Manager add-on.
Anytime Access
Training records and inspection history, available whenever your crews are actually working, not just during office hours.

Play equipment, park furniture and other outdoor assets, each with its own inspection history.

Everything else your buildings and leisure centres are responsible for, on the same schedule-and-checklist model.
Share your records across departments and with contractors
PartnerHub connects your account to the organisations you work with, so they see the records you share, and every update to them, in their own workspace.

See
They see the live record in their own workspace, with its full inspection history, not a spreadsheet exported last month

Whatever standards your services answer to, Papertrail adapts
A council runs waste collection, parks, leisure centres and buildings, and each answers to its own rules: LOLER for the lifting mechanisms on a refuse collection vehicle, BS EN 1176 for playground equipment, the Regulatory Reform (Fire Safety) Order 2005 for fire safety in a leisure centre or public building, and the Gas Safety Regulations for the appliances inside it. Papertrail doesn't assume which of these apply to your services: it adapts to each one and keeps every crew's records available whenever they're actually working.

Frequently asked questions
Will our teams actually use it, across every shift?
Yes. City of Cardiff Council rolled Papertrail out to 120 workers across two shifts and 36 waste collection vehicles.
How fast can we get every service set up, not just one?
Papertrail builds new accounts from industry-specific templates, so your account opens with the folder structure, inspection frequencies, equipment states and record blueprint suited to council services, not a blank account you configure yourself, service by service. Bringing your existing equipment list and inspection history across is a separate step, and we help you do it.
Can inspectors access training and inspection records outside normal office hours?
Yes. City of Cardiff Council's waste crews worked 6am to 10pm across two shifts, but their old HR system was only open 9 to 5. Papertrail made records available whenever the crews actually needed them, not just during office hours.
Can we track follow-up actions after an inspection, not just the inspection itself?
Yes, and this was Cardiff Council's exact starting problem: inspections happened, but the follow-up actions they raised were hard to track and easy to lose. Papertrail keeps the action attached to the record it came from, tracked to close-out.
