Will my team actually adopt it?
Papertrail is built around the inspection your technicians already do: scan the tag, work through the checklist, save. RWE puts it at 30 minutes of training for technicians and 90 minutes for admin users, across more than 1,600 users. In Claire Swannick's words: "Learning Papertrail is a breeze for our technicians. With just a half-hour session, they can easily navigate the system to view records, complete tasks, and manage their certifications."
How fast can we migrate from spreadsheets or another system?
Your account does not start empty. Papertrail builds new accounts from industry-specific templates, and a wind farm is one of the worked examples in our own documentation: the account opens with the folder structure, inspection frequencies, equipment states and record blueprint that suit the way you work, rather than a blank account you configure yourself. Bringing your existing records across is a separate step: you upload your equipment from a CSV with the Import Tool, and we help you move the inspection history.
Does it handle GWO and other technician certificates, or only equipment?
Both, and they are separate modules. Equipment inspections sit in the equipment record; technician certificates sit in Staff Competency, which stores the certificate, tracks its expiry date and sends email reminders before it lapses. You can export a certificate pack as a PDF when a client or a site operator asks for proof of competency. Papertrail's schedules, checklists and certificates are configured around the standards you are audited against, GWO among them.
We work offshore, with no signal. Does it work out there?
Yes, within a single synced account. Records and their history are available offline once the account has synced, so a technician can find equipment and see its history on a deck or in a nacelle. Searching across all accounts at once needs a connection.
We are going through F4OR. Can Papertrail help us evidence it?
Fit 4 Offshore Renewables assesses whether your business has the management systems in place to win offshore wind work, not whether an individual item of equipment is safe. Papertrail is one of those systems: it holds the inspection records, the competent-person sign-offs and the certification history an assessor asks to see, and produces them without a document hunt. Papertrail doesn't award F4OR status. It holds the evidence the assessor asks to see.
